Frequently Asked Questions - Annual General Meeting 2020

Frequently Asked Questions regarding the 2020 RACS Annual General Meeting (AGM).

Why is the 2020 AGM not conducted face to face like previous years?

Due to public health concerns associated with the outbreak of COVID-19 as well as travel restrictions and government limits on gathering of people has necessitated the change in conducting the AGM via a postal ballot.

Why isn’t the AGM conducted as a video conference or webinar?

There are limits on the maximum number of users on a video conference call, potentially 7,000+ members dialing in. We have limited control over who is dialling on a video conference at the AGM nor do we have capability to ask questions or vote electronically online for large volumes.

When is closing time for questions?

Fellows can submit questions from Tuesday 12 May at 4pm (AEST) until 5pm (AEST) Tuesday 26 May 2020.

How can I ask questions?

Questions online (preferred): by using the personal code and following the instructions as contained in the email you will receive from our external provider BigPulse (please also check your spam/junk folder) issued on 12 May 2020.

OR

By mail: Fellows are encouraged to submit their questions online. However, if you cannot submit your questions online, please complete the enclosed Voting & Questions form and send by post to the following address:

Please note due to delays in mail services caused by COVID-19 outbreak, Fellows should allow longer than usual mail delivery times.

When does voting close?

Voting commences Tuesday 12 May 2020 at 4pm (AEST) and your vote must be received by 5pm (AEST) Wednesday 17 June 2020.

How can I vote?

  1. Voting online (preferred) - by using the personal code and following the instructions as contained in the email you will receive from our external provider BigPulse (please also check your spam/junk folder) issued on 12 May 2020.

OR

  1. By mail: Fellows are encouraged to complete their voting online. However, if you cannot vote online, please complete a hard copy form which has been mailed to you and return by post to the following address:

When will incoming and outgoing Office bearers and Councillors take office/retire?

Incoming and outgoing Office bearers and Councillors will take office/retire at 5pm (AEST) 12 May 2020, just after the 2020 Notice of Annual General Meeting (AGM) has been issued. This date does not significantly deviate from the original AGM date to be held on 14 May 2020 to coincide with the 2020 ASC (since cancelled).
