Frequently Asked Questions about using the Morbidity Audit and Logbook Tool (MALT). 

How to download your Logbook Summary Report (LSR)

When signed into MALT, navigate to the Reports page:
1. At the top of the page, you should see the Logbook Summary Report options, with the Completed and Approved statuses already selected
2. Select your relevant Logbook from the drop down menu
3. Select the rotation period you would like to see
4. On the right-hand side, click ‘Generate Board Approved LSR'
5. The document should download to your local folder 

 

Important to note with the LSR: 

Any non-board approved procedures that you have logged will not appear in this report (unless you follow the instructions above but select ‘Generate Non-Board Terms Report’ instead). 

 

Troubleshooting 

If you encounter issues with the download, please take a screenshot and send it to us by email. 

 

How to extract your data from MALT: Data Extract Report 

This report is useful for the following queries: 

  • You would like to extract data for a particular procedure you have performed. 

  • You would like to obtain specific data from a hospital, date range, rotation period, or other parameters. 

  • You would like to search all cases with a particular Case Flag. 

Start by selecting your logbook type and date range. We recommend selecting ‘All’ Fields unless you know exactly what you need to extract. 

The file will download as an excel file, where you can review and find the information you need. 

If you have trouble downloading this file, or still cannot see the data you require, please contact us with as much information as possible. 

 

Finding your supervisor or hospital 

When entering a case, your default supervisor and hospital will be used. You may find that in the drop down, other options are not available. This is because you need to add them to your profile before you can allocate them to cases. 

Start by going to your profile: click on your name in the top right corner of MALT. From here, you can make changes to: 

  • Your nominated supervisor 

  • Your email notifications 

  • The hospitals you would like to log cases with (you can select as many as you need)

  • Default hospital 

  • Alternate supervisors (you can select as many as you need)

  • Default SET Level 

  • The names given to your yellow, red, or blue flags (for your own use, optional)

Make the changes required and ensure you click save.

You can now go back to case entry and use the options you have added here. 

 

Your supervisor cannot see your cases For Review 
If your supervisor advises they are not seeing your cases sent to them, there are a few possible solutions: 

1. Have you selected the correct supervisor name? Often, there are two RACS users with same or similar names. Be sure that the supervisor you have added is correct. If there is more than one name available, contact us and we can assist. 

2. Are the cases set to 'For Review' or still in Draft? Ensure you have referred to supervisor and the status of case has changed. 

3. Ask your supervisor to check their list of cases for review in MALT, even if they haven't received the email notifications. If the case is referred to them, they should be able to view it in MALT as For Review. (Supervisors can then update their email preferences via their profile, by clicking on their name in the top right hand corner when logged into MALT). 

4. Ensure your supervisor has the correct email address attached to their MALT account. Sometimes, they are not receiving email notifications because their RACS account contains an email address no longer in use, and this is where the notifications will be sent. 

If you are still experiencing issues, we recommend you contact us with your supervisor copied in so that we can respond to you both and assist. 

 

Surgical Affiliates requiring logbooks

A MALT logbook is automatically given to Trainees, Specialist International Medical Graduates on a pathway to Fellowship with the College and surgeons undertaking MoPS. If you are not currently undertaking any of these pathways, there are still some options for you to gain MALT access.

If you are a Junior Doctor, a JDocs subscription offers access to MALT as well as other resources tailored to prevocational doctors considering a career in surgery. For more information about the JDocs framework please see JDocs by RACS. For information about the JDocs MALT logbook, please see MALT for JDocs. If you do subscribe to the framework, a JDocs MALT logbook will be automatically assigned to you overnight upon subscription. The annual cost for subscription is $350.  

Alternatively, access to MALT can be granted via an Affiliate logbook. Access to the Affiliate logbook type is available via an annual subscription of $350.

Entering or editing cases from previous rotation periods

If you are attempting to enter or edit a case from a previous rotation period, you will get the following error message: 

"Some of the logbook entries you have selected are not in an editable status."

To resolve this, we are required to re-open the rotation period within which the case was entered. However, permission is required from your relevant Specialty Board to do so. 

If we have received an email from you requesting to re-open a rotation, we will requesting permission on your behalf. Should permission be granted, we will re-open the rotation for a designated timeframe, allowing you to go back and make the required changes.

On average, the Board allows 2-5 working days for changes to be made. Please note this before making your request and ensure you have allowed enough time to work on the changes.
