Institutional Upload Program

This program is an additional method of data collection for the BreastSurgANZ Quality Audit.

How does it work?

The program is an option for participants whose data has already been recorded at other institutions (e.g. hospitals, registries, or other audits) so they do not have to manually re-enter the data into the BreastSurgANZ Quality Audit (BQA).

Before an institution is accepted as part of this program, the BQA support team must establish whether an upload is possible and set up the processes needed. The institution must collect the same fields as the BQA, be able to submit a large number of cases per year, and be able to submit data in the necessary format.

FAQs

Do the fields need to match the BQA exactly?

Yes. You will need to submit the data according to the data submission template. If you store the data differently in your database, you will be responsible for transforming into the correct format before submission.

If some of the episodes are incomplete on first submission, can these be resubmitted or re-uploaded?

Currently, this service is not offered. The upload process rejects episodes that are already in the system as duplicates. However, a data manager for an institution can apply for data manager access (PDF 289.53KB) to their surgeons’ data to edit episodes after upload. Or the surgeon can log into their account and update the cases themselves.

Is a report provided from the BQA once data is uploaded?

A confirmation of what data was uploaded is sent on completion. If further data analysis is required, such as unit-based KPI assessments, this can be accomplished through the BQA data request process.

Are there specific upload times during the year?

The institution’s data managers can submit at any time throughout the year. However, there is a deadline for data submission for surgeons imposed by the BreastSurgANZ. This date is 30 April the year following the patient’s diagnosis (e.g. 2023 episodes should be submitted by April 30 2024).

When BreastSurgANZ members do not meet the minimum cases numbers each year, they may be contacted by the Society regarding their membership requirements.

How do I transmit data for upload?

There are a few different methods that you could use to transmit the data. The BQA Teams will discuss this with you on enquiry.

What format is acceptable?

To submit data through this program, you will need to use the Excel template which can be downloaded below.
