Development for TMP has been temporarily suspended until 2024. We have a range of exciting new features planned for future releases, and we'll be sure to update you as soon as development resumes.

TMP Release 4A

TMP 4A release includes new features, enhancements bug fixes and security updates

Role based updates

Trainees will be able to:

  • Add, view feedback and respond to Case notes
  • View case notes from past rotations
  • View Training Requirements based on due in current rotation, completed in past rotations, due in current SET and due later
  • Trainees will be able to start a new requirement without any delays

Supervisors will be able to:

  • Add, view feedback and respond to all Case notes of a Trainee assigned to me in current rotation

Trainers will be able to:

  • Add, view feedback and respond to Case notes they are added to in current rotation

TMEO will be able to:

  • View all Trainee Case Notes for my specialty
  • Close a Case Note, so that no further comment or reply can be added to it
  • the ability to reopen a closed Case Note, so that discussion can continue when required 

Case Notes

To introduce Case Notes feature Dr. Bhavesh Patel has kindly provided the following

  • We need to encourage the normality of seeking and giving feedback. Call it a discussion about training progress if you like.
  • Case notes are to document observations, behaviours to support scoring of the formative assessment in "Excellent”, “Borderline" or "Not achieved" categories.
  • The documentation needs to be transparent and allow the trainee to acknowledge that feedback is being given.
  • Discussion may stat like those in the TIPS Course. eg. I saw... I thought... I wonder... Advocacy enquiry with good judgement.
  • It’s not to have a running conversation, but just to document it, and perhaps come up with some learning goals if required.
  • It can support progression up, across and down across various competencies in the formative assessment.
  • It allows the supervisor (and the trainee) to see the behaviours and hopefully see some patterns.
  • It may allow various issues to be highlighted in the institution, and with trainers, as the trainee can write contemporaneous details about their experience too.

4A-1-Case-Notes

Trainee My Requirements

TMP Release 4A is going to introduce a completely redesigned Trainee My Requirements page based on Trainee feedback.


My Requirements list is now divided based on when the Requirement is due

  • Due by Current Rotation
  • Due by Current SET
  • Due Later

4A-2-Requirements

The Trainee My Requirement page

  • Presents Trainee Requirement’s Due date, Status and Outcome
  • The new search functions will improve searching requirements using part of the requirement name. No need to add special characters for searching
  • Allows navigating to Trainee Requirements from another rotation by using the Select another rotation button

4A-3-past-rotation
  • Trainees will be able to view Requirements completed in a past rotation or requirements to complete in a Ready to Start rotation
  • Trainees will be able to add a new requirement to the current rotation using Add new Requirement button
  • Overdue Requirements page presents only the requirements which are now marked as overdue
  • Pages like My SET Dashboard, My Trainers and My Activities are discontinued based on user feedback and a new Trainee dashboard will be introduced in a future release.

Training Requirements page

When a specific requirement is opened from My Requirements page the new Training Requirement details page now has only relevant information based on the requirement type.

For example, for an Assessment or WBA the Training Requirement page now clearly shows the assessment workflow. Users will be able to follow the workflow steps to submit an assessment.



Other relevant fields and info are available at the bottom of the page along with a redesigned Notes section, which allows for showing notes in a tabular format.

4A-4-training-requirement

 

The Outcome field is now locked and updated using outcome related question in an assessment form. This is implemented based on feedback received from the users related to delay in updating the outcome field.

Adding a secondary hospital and adding a Trainer is now intuitive and simple. Training Requirement page layout changes based on the Requirement type.


Training Requirements – improvements

  • We have improved the workflow when a new Requirement is added – the new requirement now automatically populates with all required data and will also load the associated form without any delays
  • The existing comments field is now merged with the Notes field to allow addition of multiple comments and review the comments as a thread
  • All new Training Requirements are now numbered as they are created making it easy to identify and work with
  • Exempted Training Requirements are now marked as - Waived/Credit or RPL
  • Add New requirements now opens the requirements page as created – this improves user experience by not having to search for the newly created requirement to start an assessment

4A-6-ad-hoc

TMP Email Notifications 4A

  • Supervisor/Trainer will be of notified when an Assessment has been Submitted by a Trainee.
    • Trainers and Supervisors will be able to mark the assessment as approved via a simple link in the notification email.
  • Trainee and Supervisor will receive Email notification with a list of outstanding requirements before end of Rotation
  • When a Case Note is added a notification will be sent to related stakeholders

New assessment forms and question types

New Assessment forms now support new question types to improve the overall assessment experience.

New Assessments forms are not supported in Safari at this stage. We are continuously improving the TMP application and will be able to support Safari shortly. We recommend the use of the Chrome browser.

TMP 3C release is introducing the following changes and updates

Multi-source feedback


We have been working hard to introduce Multi-source feedback to TMP for a while. After a few detours, we are finally introducing Multi-source feedback (MSF) to TMP

Trainee, Supervisor will be able to access Multi-source feedback (MSF) assessment from the Trainee Requirements page.

Once opened the Multi-source feedback page presents with role-specific information and actions

A Trainee needs to


  • Complete a self-assessment
  • Add name, email address and role of participants. The participants will receive an email to assess the Trainee. No login is required to complete this task
  • All data collected via the process is anonymised and the Trainee/Supervisor are not able to view which response has come from which participant

A supervisor


  • Can view the number of participants responded
  • Areas of development and Areas of excellence as added by the participants
  • The supervisor is able to moderate these comments if required or control visibility is deemed inappropriate.

Once reviewed the Supervisor can allow the Trainee to view the final report and both Supervisor and Trainee should take part in an MSF review meeting to complete the rest of the procedure

During the Multi-source feedback review meeting


  • The Trainee needs to add a reflection after reviewing the final report with their supervisor
  • The Supervisor needs to add their comments about the Trainee and add an outcome of the assessment

There are email notifications related to Multi-source feedback and other assessments listed in Email Notification related section below


Once the process is completed the Multi-source feedback report collates all the information.


Trainee Transcript report

TMP now will support creating Trainee Transcript report. At this point a Trainee can request a Transcript report using TMP helpdesk. In future release, the capability to access the report directly from TMP portal will be added.


EPA-related WBA security update for Trainers

TMP release 3C also enables Trainers to review all WBAs connected to an EPA irrespective of whether they were the Trainer to that WBA or not.



EPAs are now aligned with Multi-site Supervisor Trainer feature introduced in Release 3A. Trainee EPAs are now accessible once a Supervisor/Trainer has selected a hospital after login.



Hospital Post Evaluation for Supervisor

There is now a process in order for a Training Manager/ Executive Officer to conduct an evaluation of a hospital post - this will now be generated through TMP.


TMP Email Notifications 3C

  • Requirement due date reminders - assessments
  • Trainer assignment notification email - when a Trainee adds a Trainer - auto approval
  • Trainer removal notification for Trainee and Trainer - when a Trainer is either removed or removes themselves from a requirement
  • Trainee notification when an ad-hoc requirement is added to Trainee
  • Trainee rotation reminder - based on the rotation start date
  • Rotation outcome email - when rotation outcome is added

TMP Email Notifications 3C - Multi-source Feedback specific

  • Reminder to Trainee to send MSF invitation
  • Reminder to add response and self-assessment
  • Trainee /Supervisor email notification to request discussion after receiving responses
  • Supervisor approval for Trainee to review MSF report
  • MSF Participant response reminder

Portal improvements


Add new requirement

In this release, we are simplifying the Add New Requirement workflow on the portal. Selecting Add new Requirement on the Trainee Requirement page will simply open a list of Requirement types to choose from. Selecting a requirement type will add a new requirement of the selected type for the selected trainee.

  • Skip the Submitted to Assessor status for assessors
  • Introduce Trainee Column in Trainer Request table and auto-populate it for existing records

TMP 3A release is introducing the following changes and updates


Multi-site Supervisor / Trainer

TMP 3A - Release Notes

Support for Supervisor/ Trainer working in multiple hospitals. TMP will request the Supervisor or Trainer to select an associated hospital to present relevant trainee information.

On selection of a hospital and role Trainee Requirements page will open with the list of connected Trainees from that hospital.

  • The supervisor will either be connected to the Trainee as a Supervisor for the rotation in progress,

or

  • The Trainer is connected to the Trainee via Trainee Requirement
  • The Change button will allow the Supervisor/ Trainer to change the hospital selected

Selecting a Trainee on this page opens the Trainee Requirements divided based when the Requirement is due.

  • Due by Current Rotation
  • Due by Current SET

  • Presents Trainee Requirement’s Due date, Status and Outcome
  • Clearly shows the Current Trainee information on top of the page
  • Allows changing the currently selected Trainee by using the Other Trainee button
  • Trainee Rotation Progress and Trainee Research is only available for Supervisors at the bottom of the page
  • Trainee Research will be relocated and updated to a separate page in 2023
  • Overdue Tasks page will present only the Overdue Tasks a Trainer and Supervisor needs to completeOverdue Tasks replaces the current My Task page with in-progress tasks needs completion

A Trainer will also be able to view all the Trainees in the selected hospital. Select and assign any Not Started Trainee Requirements they want to help the Trainee with.

Trainers will be able to view and remove Trainer Requests from the Trainer Request page

Trainee EPA has not been updated with Multi-site Supervisor/ Trainer security changes. This is under development and will be released in coming months. Trainee EPAs will work as it currently does.
